Abstract Submission guidelines and Review Process

Guidelines:

  1. Posters may focus on research results, case reports, educational projects or professional development. Posters may address any topic relevant to Occupational and Environmental Medicine. Submissions should ideally represent recent work.
  2. Submissions accepted from any OEM clinician, OEM-related professional, trainees, and students.
  3. Author(s) may submit more than one abstract for review.
  4. Posters must be free of any commercial interest. The ACCME defines a “commercial interest” as any proprietary entity producing health care goods or services, with the exemption of non-profit or government organizations and non-health care related companies.
  5. All Poster Abstract Applications must include a fully completed ACOEM Conflict of Interest Disclosure Form from every author listed on the poster abstract. All disclosure forms must be emailed to executive.director@necoem.org in a single email.
  6. All submissions must be received and complete, including all Conflict of Interest Disclosure Forms, for all listed authors by end of day on September 15th due to ACCME requirements.
  7. Late submissions will not be considered.

Review Process:

All submissions will be reviewed by the Poster Session review committee. The review will focus on the following:

  1. Significance of the findings for occupational health practitioners
  2. Clarity and quality of the presentation
  3. Quality of the research methods used
  4. Absence of commercial interest

Decision and notification of acceptance of submissions will be made no later than September 30th, 2026.

ABSTRACT ACCEPTANCE CRITERIA

  1. If accepted, the author(s) or designate must register for at least one conference day and be present for the poster session on Monday, November 16th from 5:30 to 7:00 pm.
  2. Complimentary registration will be offered for one author on Monday, November 16th.
  3. Authors receiving the Outstanding Poster Awards must agree to attend the 2027 ACOEM AOHC or 2027 NECOEM & MaAOHN Annual conference with the funds. *Recipients may request scholarship committee approval to use their for other educational activities related to worker health.

CONFERENCE REGISTRATION DETAILS

One author of each accepted poster will be granted free registration for Monday, November 16th. All poster authors are encouraged to register and attend Tuesday, November 17th as well.

To be eligible for scholarship consideration, posters must be hung by 9:30am on Monday, November 16 . If you choose not to participate in the scholarship judging, posters should be hung no later than 5pm.
Are you willing to leave your poster hung for the full two-day duration of the conference?
If you are not attending the second day but choose to leave your poster on display, you are responsible for retrieving it at the end of the conference. Alternatively, you may leave a postage-paid shipping tube, and the poster will be returned via mail after the conclusion of the conference.

Instructions:

  1. To complete your poster abstract submission, you must submit one email containing a signed ACOEM Conflict of Interest disclosure form for every single author listed on the poster abstract.
  2. Click the link below to download the form directly to your desktop. 
  3. Only edit the document once it’s downloaded to your desktop. Do not edit the document while in Dropbox.
  4. Email all of the completed forms in a single email to NECOEM Executive Director Michela Capobianco at executive.director@necoem.org.

Important: ACOEM requires a new COI form to be submitted every 12 months. Even if you believe you have recently submitted one, we encourage you to complete and submit a new form to ensure compliance.
